AI for the PMO? - IPMA PMO community October meeting

Artificial Intelligence, AI, everyone is talking about it. But what could it mean for the PMO? Will we soon no longer need PSOs, or project support staff? And can we let AI determine governance? Will project deviations and budget overruns be predicted better than the average PMOer can currently? And what is needed to make this possible? Is existing project tooling a sufficiently good source to make AI work? Or would a much easier-to-obtain unstructured dataset suffice?

    • The most important questions we want to address in this first short blog about AI are:
      • What are the possibilities of AI for use in project management?
      • What is the changing role of the Project Management Officer (PMO) in the deployment of AI?

Possibilities of AI

AI for the PMO: The future of project management

Artificial Intelligence (AI) is a rapidly growing field that has a major impact on many different sectors. Project management is no exception. AI offers a number of opportunities to improve project management, such as task automation, improved decision-making, and personalization.
Task automation
​​One of the most obvious possibilities of AI is the automation of tasks. AI can be used to ​ automate tasks that are                                            currently performed manually, such as collecting and analyzing data, the ​ ​generating reports and making forecasts. This can                      help the  PMO work more efficiently and have more time ​spend on strategic tasks.
​Improving decision-making
​​AI can be used to improve decision-making. And also to analyze data and identify patterns that not be visible to humans. Using                    advanced analysis techniques, AI can large process and identify trends, risks, and opportunities ( see                                                            this https://hbr.org/2023/02/how-ai-will-transform-project-management) .This enables the PMO to make better informed                            decisions and improve project performance. ​ ​ For example, better decisions regarding project prioritization, resource                                    allocation,  and risk identification.​​
​Optimization
​​​AI can also be used to optimize projects for specific needs. This can be done, for example, to monitor the progress of a project ​               and make recommendations for improvements. Among other things by means of project information to present a more user-                        friendly way By training AI models with best practices and guidelines for project management, AI can automatically project                          documents Review plans and to verify whether they meet the required standards. This helps the PMO ensure consistency and                   compliance. to ensure of project management standards.
​​ AI for project deviations and budget overruns
​AI can help predict project deviations and budget overruns using algorithms. ​ ​ learning (see also the same Harvard Business                        Review article). By analyzing historical project data, AI can ​ ​ and identify trends that may indicate potential deviations or budget                    issues. This enables the PMO to ​ ​ to proactively take measures to keep projects on track and prevent budget overruns.
Veranderende Changing Role of the PMO
With the rise of AI, the role of the PMO will likely evolve. Instead of focusing exclusively on administrative tasks, the PMO can play a more strategic role in implementing and managing AI solutions for project management (see also https://www.pmoga.world/pmomastermind/ai). This includes identifying suitable AI tools and technologies, training project teams in their use, and fostering a culture of data-driven decision-making within the organization.
IPMA PMO Community & AI
During the IPMA PMO Community meeting on Friday, December 8 from 13:00 – 16:00 in Soest, we will receive a short presentation, after which we will work in groups to explore how we, as the PMO community of the Netherlands, can support our PMOs with the shift towards more strategic PMO work, what training is required for this, what research we still need to do, and, above all, who will actively commit to this!
